YapRound privacy policy

Information you provide

YapRound may collect or process the optional first name you enter in the app, spoken reflections, typed reflections, transcripts, extracted learning moments, patient-thread labels, weekly analyses, requirement matches, rotation summaries, app settings, and StoreKit moment-pack purchase status. Birthday is optional and is used locally for an in-app birthday accent. You should not enter PHI, names, medical record numbers, dates of birth, phone numbers, addresses, or other patient identifiers for patients.

Audio and speech recognition

When you record a reflection, the app uses microphone access and speech recognition to create a transcript. Apple speech recognition may process audio. Audio is used for transcription and is not intentionally retained by YapRound after processing.

AI processing

After you consent in the app, reflection text, your optional first name if provided, extracted moments, patient-thread labels, rotation name, and related learning-log context may be sent through YapRound's backend to Anthropic for AI-assisted extraction, summaries, requirement matching, and analysis. Do not use YapRound AI processing for PHI, patient care, or official clinical documentation. YapRound does not intentionally retain request or response bodies in its backend logs, but you remain responsible for avoiding patient identifiers.

Third-party AI service

YapRound uses Anthropic as a third-party AI service. Anthropic states that API inputs and outputs are not used to train models by default and may be retained for up to 30 days unless different terms apply. See Anthropic's privacy policy and API data retention information.

Local storage

Your reflections, transcripts, moments, summaries, app settings, and related learning data are stored locally on your device using Apple's app storage systems.

Moment packs

YapRound moment packs are consumable purchases processed by Apple through StoreKit. Each pack adds a stated number of reflection moments. YapRound may receive purchase transaction information from Apple to add moments, but payment details are handled by Apple.

Analytics and diagnostics

YapRound uses TelemetryDeck for lightweight product analytics, such as app launches, recording starts, typed-entry submissions, paywall views, purchases, and coarse usage buckets like recording duration or extracted moment count. YapRound also uses Firebase services, including Crashlytics, Performance, and Remote Config, to understand crashes, performance, reliability, and app configuration. These services are not used for advertising or tracking, and YapRound does not intentionally send transcript text, extracted moment text, patient-thread labels, or patient identifiers to analytics or diagnostics services.

How information is used

Information is used to provide app functionality, personalize summaries if you provide a first name, organize learning moments, support purchased moment packs, measure app usage in aggregate, diagnose crashes and performance issues, and improve the reliability of the service.

Retention and deletion

Reflection data, transcripts, extracted moments, patient-thread labels, summaries, settings, and optional profile details are stored locally on your device until you edit or delete them in the app, delete all local data, or uninstall YapRound. Temporary audio files are deleted after transcription and old temporary recordings are cleaned up on launch. AI requests pass through YapRound's backend to Anthropic; YapRound does not intentionally retain request or response bodies in its backend logs. Anthropic may retain API inputs and outputs for up to 30 days unless different terms apply.

Consent choices

You can avoid AI processing by not tapping process actions. You can reset the welcome and AI-processing consent screen from Settings, delete entries individually, delete all local data, remove your optional name or birthday, and disable reminders or app lock from Settings. For questions or deletion requests involving information you believe was sent to YapRound's backend, contact support.

Third-party protection

YapRound shares data only with service providers needed to operate the app, such as Anthropic for AI processing, Apple for StoreKit purchases and system speech recognition, TelemetryDeck for product analytics, and Firebase/Google for crash reporting, performance diagnostics, and remote configuration. These providers are expected to protect data consistently with their published privacy commitments and applicable law.

Medical safety

YapRound is not a medical device and does not provide diagnosis, treatment, triage, or patient-specific medical advice. AI output may be incomplete or wrong. Seek advice from a supervising clinician, physician, or other qualified health professional before making medical decisions.
